JOB DESCRIPTION:

Unique opportunity to work closely with award-winning journalist Maria Hinojosa, a high-profile, high-energy media celebrity, the Founder and President of The Futuro Media Group. The Executive Assistant is responsible for day-to-day coordination of the President’s extremely busy schedule, correspondence and travel, providing administrative support on a variety of fronts. He/she will serve as a primary point of contact for internal and external parties on all matters pertaining to the President, award-winning journalist Maria Hinojosa. This is a full-time position reporting to the Executive Director, supporting the President, and working closely with all departments at the Futuro Media Group.

The Futuro Media Group is an independent nonprofit organization producing multimedia journalism that explores and gives a critical voice to the diversity of the American experience. Based in Harlem and founded in 2010 by Maria Hinojosa, Futuro Media is committed to creating multimedia content for and about the new American mainstream in the service of empowering people to navigate the complexities of an increasingly diverse and connected world.

Futuro Media produces Latino USA, NPR’s only national Latino news and cultural weekly radio program; America By The Numbers with Maria Hinojosa, a documentary series on PBS revealing the human stories behind America’s dramatic demographic changes; In The Thick, a political podcast from the perspective of journalists of color; and Humanizing America, a digital-shorts web series distributed by NBCNews.com that presents intimate profiles of diverse Americans. Futuro Media also produces live, civic engagement events in conjunction with content aired on our various media properties that promote community dialogues on race, culture, and ethnicity.

DUTIES AND RESPONSIBILITIES:

  • Coordinate all of the President’s schedule, keep calendar for all internal and external meetings up to date at all times, and create daily itineraries and reminders
  • Working with editorial team to schedule interviews, narration sessions, reporting trips and prep time
  • Organize and maintain the President’s inbox
  • Develop and maintain system of communication with the President to meet fast turn-around deadlines for all incoming and outgoing correspondence including email, mail, and phone calls
  • Coordinate all travel for the President, including booking transportation and accommodation
  • Coordinate all of the President’s social media posts
  • Serve as liaison between the President and all Futuro Media departments, including Administrative, Development/Fundraising, Finance, Digital, Radio/Podcast, and Television
  • Serve as liaison for PR/Marketing firm and public speakers bureau to coordinate all of the President’s public appearances, including talk shows and conferences
  • Draft emails and notes on behalf of President as needed
  • Assist President with cultivating donor relationships and Development opportunities
  • Ensure all Development related correspondence is handled in a timely manner
  • Follow-up on all outstanding donor related requests and meetings, including all Individual and Corporate donor requests and thank you notes
  • Work with Development and Production teams to maximize on all opportunities and public appearances
  • Plan and coordinate logistics for all Futuro Media events involving the President, including Board of Directors activities
  • Prepare all expense reports and payroll timesheets for the President
  • Coordinate all documents that require the President’s signature, review and/or approval (i.e. contracts, briefings, thank yous, checks, etc.)
  • Updating document that tracks all of the President’s public appearances and communicating to all relevant parties
  • Maintain records and organization of the President’s paperwork
  • Occasional personal assistant tasks as required, including errands
  • Other related duties as assigned by President
  • Provide office-wide administrative support when Office Assistant is on vacation or out sick

Job Requirements

  • Bachelor’s degree strongly preferred
  • 2-3 years minimum in executive administration
  • Ability to preserve confidentiality at all times
  • Ability to work in a fast-paced, young and loud newsroom and open office environment
  • Must be able to work autonomously and is a self-starter
  • Strong organization skills
  • High attention to detail
  • Excellent writing skills
  • Strong interpersonal skills and communication skills
  • Experience juggling multiple priorities at once and meeting deadlines
  • Friendly, professional, and outgoing demeanor
  • Excellent phone and email etiquette
  • Strong computer skills and proficiency in Microsoft Office and Google Suite
  • Savvy with social media
  • Internet research abilities
  • Interest in journalism and media a plus
  • Spanish language skills a significant plus, but not required
  • Must be comfortable being on call and willing to work outside of regular business hours, including nights and weekends
